What owners ask about automation and approvals.

Can I use Xyzios alongside the automation tool I already have?

Yes, and for most studios that is the right setup, because the two do different jobs. Keep the automation tool for what it is best at: an instant reply to a new lead, text messages, and the sequences you have already built. Xyzios works on the members you already have and on the numbers: who is drifting, whose payment failed, which intro offers end this week, and what all of it is worth. Nothing needs switching off. Each one connects to your booking platform on its own, so there is nothing to wire up between them.

Why would a studio need both?

Because each leaves a gap the other fills. Automation answers a new lead in seconds and sends texts, which Xyzios does not do. But a trigger fires only on the rule you wrote, so it usually misses the regular who slipped from three classes a week to one, and its reports stop at opens and clicks. Xyzios reads every member against her own pattern, drafts a note for the few who need one, and counts a save only if the membership is still live 60 days later. One covers speed at the front door. The other covers attention to the members who pay the bills.

Could a member get a message from both tools?

A new lead cannot, because Xyzios does not message leads. A current member can, if your automation tool also runs a "we miss you" or failed-payment sequence. Xyzios has no connection to your automation tool and does not see what it sent, so decide which tool owns each of those moments. A sensible split is to let automation keep the lead replies and the welcome series, and let the notes to fading members and failed payments come from Approvals, where a person reads each one first. You can skip any draft in one tap.

How do I know whether my automation is working?

Your automation tool reports opens, clicks and replies. Xyzios counts what happened next, from your booking platform: how many leads took a first class, how many joined, and what a new member cost across your ads. Those counts do not depend on which tool sent the message, so they are a fair check on the whole funnel, sequences included. Xyzios cannot tell you which sequence earned a join, only whether the funnel is turning leads into members.

Does Xyzios reply to new leads automatically?

No. Xyzios does not message new leads. Every new account in your booking platform that has not booked a class lands on a ranked daily call sheet, next to the intro offers in their window, for a person at your studio to work. If an instant automatic reply to every lead is what you need most, an automation tool does that and Xyzios does not.

Does Xyzios send text messages?

No. The notes Xyzios drafts are emails, sent from your studio’s own address after you approve them. It does not send texts and it does not make calls. If texting is central to how your studio talks to members, keep the tool you use for it.

Is approving every message slow?

It is a few minutes most days. Xyzios does not draft a note for everyone: it drafts for the members at highest risk, for failed membership payments, and for intro offers ending this week, so the queue is short by design. Each draft is already written in your studio’s voice, and Approve & send is one tap. You can edit any note first, skip it, or leave it for later, in which case it simply waits.

Why not just automate everything?

Because the messages that matter most are the ones where a template goes wrong. A note to a member who is drifting away is a small act of attention, and she can tell when it is not one. A trigger cannot know that she emailed you yesterday, that she is injured, or that she has an open complaint. A person reading a draft can.
