Xyzios is the Studio OS for boutique fitness — a complete operating system that plugs into the booking platform and tools a studio already runs, reads its numbers night and day, and drafts the moves that grow it: saves, win-backs, intro follow-ups, payment follow-ups, the weekly brief. Every member-facing action is approved by the owner, and every dollar it earns back lands on the Recovered Revenue Ledger.
How is Xyzios different from a dashboard tool?
Dashboards tell you; the AI staff does. Xyzios pairs live boards with an AI staff that drafts the retention outreach, the payment follow-ups, the review replies and your weekly brief — then waits for your approval before anything reaches a member.
Do I need to be technical to use Xyzios?
No. Onboarding is hands-on — a person sets your studio up — and every board opens with the answer, not a query builder. Anything else, you ask in plain English.
Who founded Xyzios?
Bill Hughes, who ran the numbers side of the boutique studios his partner Erin Ayres founded. The homework of growing them — reports pulled one at a time, spreadsheet Sundays — is why Xyzios exists.
Does Xyzios run on real studios?
Yes — its own, every day. Every board, agent and number ships to the founders’ studios before it reaches anyone else’s; it ran their front desk and their books first because they had to trust it with their own revenue.
You’re a small company. Why trust you with my studio?
Fair question. Xyzios was built inside a working studio by an owner — it ran our own front desk and our own numbers before anyone else’s. Your data is isolated at the database level, nothing reaches a member without your approval, and the demo runs on numbers like yours before you spend a dollar.
Where do the numbers on this site come from?
The product screens are recreations on demo data and say so. The stats band every startup puts on its about page is deliberately absent: real figures arrive from the Recovered Revenue Ledger, with a published method, when they are earned — not before.

Does Xyzios work with Mariana Tek?
Yes. Xyzios is an approved Mariana Tek integration (the integration review passed in September 2026). Mariana Tek stays your system of record for classes, memberships and payments; Xyzios connects on top and turns what is already there into live boards, plain-English answers and drafted follow-up work that waits for your approval.
How does a Mariana Tek studio connect?
One click on Mariana Tek’s side. You and Xyzios open one support ticket with Mariana Tek together, Mariana Tek switches the integration on for your studio — typically within about three business days — and the first read lands that night. There are no API keys to find or paste and nothing to configure in your account.
Will anything change inside my Mariana Tek account?
Almost nothing. Nothing is written to Mariana Tek except what you tap or approve — a check-in at the front desk, a message you OK’d. Nothing else changes, and Mariana Tek keeps charging and retrying payments exactly as it does today. Mariana Tek is a trademark of Xplor Technologies; Xyzios is an independent product.

Does Xyzios replace Mindbody?
No — it works with it. Mindbody stays your system of record for classes, memberships and payments. Xyzios connects on top and turns what is already there into live boards, plain-English answers and finished follow-up work waiting for your approval.
Will anything change inside my Mindbody setup?
Almost nothing. No settings change, and nothing is written to Mindbody except what you tap or approve — a check-in at the desk, a message you OK’d. Nothing else changes. Your members never see or log into anything new, and if you disconnect, your Mindbody site is exactly as it was.
How is this different from Mindbody’s built-in reports?
Mindbody’s reports are built for looking things up. Xyzios is built for running the week: every KPI on one live board with nothing to configure, questions answered in plain English from your own numbers, and an AI staff that turns what the numbers say into drafted work — save lists, payment follow-ups, a weekly brief — waiting on your approval.
What else does Xyzios connect to?
Beyond the booking platform: Meta and Google ad accounts, Google reviews and your Business Profile, plus books and payroll. Connecting takes about an afternoon, and nothing about how you operate changes.
Is Xyzios affiliated with Mindbody?
No. Xyzios is independent and unaffiliated — Mindbody is a trademark of Mindbody, Inc. Xyzios works with the data your own Mindbody site already holds, with your permission.

Nothing, until you approve it. Every member-facing draft waits in your Approvals inbox; approved messages send from your studio’s own email. You can edit or reject anything, and nothing reaches a member without you.
Does Xyzios process or retry the payments?
No. Payments stay in your booking platform, which keeps charging and retrying exactly as it does today. Xyzios adds the layer platforms don’t: spotting every miss the day it happens, drafting the member outreach for your approval, tracking each case to resolution, and tracing every recovered dollar in the ledger.
What does a payment follow-up actually look like?
A short, human message in your studio’s voice — not a dunning notice. It waits in your Approvals inbox; you can edit it, reject it or approve it, and approved messages send from your studio’s own email.
What happens if a member never pays?
You’ll know — which is the point. Every failed payment sits on an aging list until it is resolved or you close it deliberately. Nothing gets silently written off, and the pattern — which cards, which memberships, which locations — is visible instead of folklore.
How does Xyzios know who’s at risk?
Against their own baseline, not a generic threshold. The three-times-a-week regular who drops to once is at risk even though once a week is normal for someone else. Xyzios watches each member’s attendance pattern from your booking platform and flags the drop while it is a fade — weeks before it is a cancellation email.
Do you contact everyone who cancels?
No. Win-back outreach follows rules you set — who qualifies, how soon, how often — and every message waits in your Approvals inbox before it goes anywhere. Approved messages send from your studio’s own email, in your voice.

Is this a CRM I have to manage?
No — there is no new system to live in. The follow-up work arrives finished on the board you already check: today’s list, ranked, with the outreach drafted. Your booking platform stays the system of record, and the funnel — lead to intro to member — counts itself along the way.
How does the ledger decide what counts as recovered?
Conservatively. A dollar is counted only after a waiting window — 21 days for a payment, 60 for a save — and only if the member is still a member; a rejected draft never earns credit even if the outcome happens anyway; and every line opens to the member, the approved message, the dates and the amount. How much does Xyzios cost?
The first month is $99 total, every location included. After that it is one published price per location: at the Founders Rate, $149 a month for your first location and $99 for each additional one, so three locations is $347 a month (standard rate $299 and $149). Everything is included — every board, the full AI staff, goal mapping and hands-on onboarding — with no tiers, no per-seat pricing and no setup fee. It runs month to month. Studios with more than five locations get custom pricing.
Why is there only one price?
Because tiers are how software hides the good parts. Our cost scales with how much data a studio produces — which tracks locations, not seats or features — so that is the only thing the price tracks. Every studio gets the whole OS at any size.
Is there a cheaper tier?
There are no tiers. Every studio gets the whole system, because holding back the retention or payment-recovery work would remove the part that pays for it.
Are there long-term contracts?
No. Xyzios runs month to month and you can cancel any time. The Recovered Revenue Ledger makes the case for staying — that is the whole pricing model.
Does the price go up as we grow?
Only by location. At the Founders Rate an additional location adds $99 a month ($149 at the standard rate); nothing else about your bill changes as your membership grows, because Xyzios is not priced per member or per seat.
When do we start paying?
Whenever you say go — after a demo, or straight from Get started. Billing starts when your studio is connected: that is the $99 first month, every location included. Until then, you have spent nothing.
What if I cancel?
Nothing breaks. Xyzios runs month to month with no contract, your booking platform was always the system of record, and it keeps running exactly as it did before — you lose the boards and the drafts, not your data or your studio.

How long does setup take?
An afternoon. Connecting your booking platform takes about ten minutes, linking your ad accounts a little longer, and your boards are live within 48 hours. Onboarding is hands-on — a person sets your studio up and stays close.
Do I have to migrate anything?
No. Nothing migrates and nobody on your team learns new software. Each system you already run keeps doing its job; Xyzios reads them together and drafts the work. The first Monday brief arrives written within the week.
How current are the numbers?
Live events stream in as they happen, boards refresh through the day, and a full deep read runs daily so nothing drifts. The answer is there when you look, not a report you have to go and build.

Is my studio’s data safe?
Your studio’s data is isolated from every other studio at the database level, credentials are encrypted and never shared, and access inside your account is scoped by role. Backups are encrypted and run nightly, your members never log in to anything, and we never sell or share your data.
Do my members have to log in to anything?
No. Xyzios is staff software. Members have no account, no login and no exposure — they never see Xyzios at all. Anything that reaches them is a message you approved, sent from your studio’s own email.
Can my managers see everything?
Only what their role allows. A location manager’s view is rebuilt server-side for their own site — the server never sends data the browser is merely expected to hide — and front-desk access is narrower still. The owner sees everything.
Can I have my data deleted?
Yes, end to end. The data deletion page describes exactly how to ask and what happens when you do. Disconnecting is separate and simpler: your booking platform was always the system of record, so it is exactly as it was.
One scoreboard, honestly compared.
I run multiple locations — does Xyzios handle that?
It is built for it. Every location lands on the same scoreboard, honestly compared — revenue, members, fill and at-risk per site on the same definitions and the same math, never just a company total that hides a struggling location. Goals and seasonality are mapped per location, and the AI staff drafts per location too.
Can my managers see only their own site?
Yes. Manager access is location-scoped by design: a general manager sees their site’s boards and their site’s work queue, while owners see everything from anywhere.
Can I compare locations without a spreadsheet?
That is the Compare board’s whole job: per-location revenue, members, fill and at-risk on the same definitions, with rates recomputed per site rather than averaged — the honest math a spreadsheet usually gets wrong.
