The Recovered Revenue Ledger is the running record of money the AI staff earned back for your studio. Every line is a specific member, a message you approved, a dated check against your booking platform, and an amount no larger than the charge that was at stake. It is the proof behind Xyzios — and it is built to under-claim.

What counts

Three plays earn a line. Only one of them banks cash.

The Save retained

A member is fading off their own pattern. The save is drafted, you approve it, and the clock starts. Sixty days later, if the membership is still live, one month of that member's dues is credited. Two more checks follow, at 90 and 120 days, for months two and three. Three months is the cap — never a lifetime.

An auto-pay misses. Your booking platform keeps retrying as it always has; Xyzios spots the miss and drafts the note. You approve it. Twenty-one days later, one check: did that charge collect? The credit is the charge that failed — a late fee is the fee, not the dues — and only if the platform shows it paid.

An intro offer is about to lapse. The nudge is drafted, you approve it. Fourteen days later, if that person now holds a live regular membership bought after the note went out, the line is confirmed — at zero dollars. It is shown, and added to nothing, because a note before a purchase does not prove the note did it.

When it's counted

Late, on purpose.

A line moves through four states, and it can only earn in the last one. The clock never starts on a draft — it starts on your tap.

  1. Flagged
    The line opens as "proposed." The AI staff finds the member, drafts the message, and writes the line at the same moment — with the date, the reason, and the dues at stake. No dollars.
  2. Your tap
    Approved starts the clock. The line becomes "actioned" and its check date is set: 21 days for a Recovery, 60 for a Save, 14 for an Intro. Rejected closes it for good — a rejected draft never earns, even if the member pays or stays anyway. A draft nobody touches for 14 days expires the same way.
  3. The check
    A nightly job reads the booking platform. Pass, and the line is confirmed and dated that day — not the day the message sent, not the day the money moved. Fail, and it expires at $0 and stays on the ledger, because the misses are part of the proof.
  4. Still here?
    Saves are re-checked. Months two and three are credited at 90 and 120 days, only while the membership is still live. A cancellation stops the crediting; the months already earned keep their dates.

What's excluded

When in doubt, it isn't counted.

  • A draft you rejected — even when the outcome happens anyway.
  • A draft nobody acted on within 14 days.
  • A member your team handled in person. Mark them Handled at the desk and the waiting draft is withdrawn; the line expires. The board celebrates the desk save. The ledger never banks it.
  • An intro that converted — confirmed, shown, worth $0.
  • Leads. The ledger has a place for a lead who becomes a member. No dollar is written there today.
  • A second save on the same member inside six months.
  • Lifetime value, projections, "would have churned" math. Only the dues or the charge that actually existed, for the months actually checked.
  • Anything the platform can't confirm. No verified collection, no verified membership, no dollars.

How a line is traced

Every line opens to its evidence. The name comes from your platform, the message is the draft you approved with your edits in it, and every check the job made is written down with what it saw.

Why we under-claim

A credible number beats an impressive one.

Every studio owner has been shown a dashboard that counted generously. The first time you check a line and it doesn't hold, the whole number is worthless — and so is the software behind it. So the ledger counts a recovered dollar late, and only if the member is still paying. It labels an estimate as an estimate, keeps its misses in view, and credits nothing it cannot point at.

That discipline is also what makes the number useful. A ledger you can audit is one you can put next to your subscription, show your accountant, or read in the Monday brief without a footnote. Under-claim, always. It is the cheapest trust there is.

What owners ask about the ledger.

Does the ledger count dollars Xyzios didn’t cause?

It is built not to. A line only exists where the AI staff flagged a member and you approved a message; it is confirmed only by a later check against your booking platform; and each line carries its tier. A Recovery is “collected” — the platform stamped the charge paid. A Save is “retained” — an estimate, labeled as one, with this method a tap away. An intro that converts is confirmed at zero dollars, because a note before a purchase does not prove the note did it. The ledger can still credit a member who would have stayed anyway, which is exactly why every other rule under-claims.

Can I audit a line?

Yes — every one. A line opens to the member, the play, the draft you approved, the dates it was flagged, approved and checked, and what each check saw: the membership status that day, or the date the platform recorded the charge collecting. Expired and rejected lines stay on the ledger too, because a proof mechanism that hides its misses is not one.

What if a member cancels later?

A Save is checked at 60 days, then at 90 and 120. If the membership is gone at any check, crediting stops; the months already confirmed stay with their dates, and nothing is confirmed that was not. A Recovery has one check at 21 days: if the charge collected, it collected. A cancellation after that is a new fact in the member’s record, not a reason to un-count a payment that cleared.

Is the demo ledger real?

No. The ledger screens on this site and in the sales demo run on synthetic data and say so on the card, and the demo studio is hard-excluded from every sync and every agent. The first real figure will come from a real studio’s ledger, counted by the method on this page, and land in the slot above — when it is earned, not before.
